Overview
Your primary responsibility will be to support our Contract Managers and Operations department with a variety of administrative tasks.Responsibilities
Provide general administrative support, including handling phone calls and management of Contracts Managers mailboxAct as the primary point of contact for clients regarding induction and delivery processes and arrange the administration of documents requiredCoordinate and manage the booking of material movements, ensuring smooth and timely operationsManagement of daily reports, track, chase and report on any issues to the Site Operations teams to resolve (e.g. Sweeper with no auto braking sent to site, Dumper with no VCAS, Daily Job Briefing not completed)Create job packs for Supervisors in advance of job commencementDevelop and manage a visual tracker to record site issues and create reporting mechanismMaintain project documentation, including contracts, drawings, specifications, and other relevant recordsFacilitate effective communication between internal teams, clients, subcontractors, and suppliersComplete and manage operational client inductionsTaking detailed and accurate notes during meetingsLiaise with supply chain partners as requiredUpdating competencies and certificationManage and arrange the hire and off hire of all small toolsExtract and catalogue information from suppliers, including material rates and delivered tonnageCheck compliance information is being received through our in-house systemsUse our PPE portal to order the appropriate equipment from our chosen supplier for all operatives and office staffQualifications
