Contracts administrator/coordinator – Building & Maintenance Company
Are you an organised and proactive individual with a knack for keeping things running smoothly? We’re looking for an experienced contracts administrator to join our growing team in a fast-paced building and maintenance environment.
About Us
As one of London's leading M&E contractors we have several large contracts across multiple prestigious sites in the capital and now require an administrator to join our team. From reactive repairs to planned maintenance, we pride ourselves on reliability, professionalism, and customer satisfaction.
Key Responsibilities
- Act as the first point of contact for client enquiries via phone and email
- Schedule and coordinate engineers’ diaries for reactive and planned maintenance
- Raise job sheets, purchase orders using internal bespoke software
- Track job progress and update clients accordingly
- Maintain accurate records of works completed and parts ordered
- Liaise with suppliers and subcontractors for quotes, orders, and delivery schedules
- Provide general admin support to management and operational teams
- Assist in compiling reports, health & safety documentation, and compliance records for our site log books
What We’re Looking For
- Previous experience in an admin, coordination, or scheduling role (ideally in construction, maintenance, or similar industry)
- Excellent organisational and communication skills
- Ability to multitask and stay calm under pressure
- Strong IT skills – confident with Outlook, Excel, and job management systems
- A team player with a proactive and can-do attitude
- High attention to detail and strong time management

- Salary of 30k depending on experience, with chance for salary review at the end of the year
