Our client is looking to recruit an Administrator / Diary Planner for their lovely office in Brighton, close to the train station.
This is a permananat role. 08.30am to 5pm Mon to Friday, however our client will consider part time hours for the right person. (to be discussed)
The main principle responsibilities are outlined below.
- Taking phone calls and directing onwards, adding notes to deals as required and creating tasks where people are unavailable
- Providing direction and assistance when answering phone calls in a helpful manner.
- Providing client support
- Actioning Moneypenny messages and ensuring these go to the correct person
- Actioning enquiries emails and adding new leads and dealing with general emails
- Responding to TrustPilot reviews on a daily basis
- Printing, binding, and post daily
- Answering general questions about services offered by the business
- Putting through clients to the sales team
- Interacting with other departments such as surveyors and sales team
- Diary planning with calling out to clients and agents as required and updating systems.
- Designing driving routes for surveyors with Optimo Route and/or Google Maps to ensure:
- Efficient routes (minimal driving time & distance) for the surveyors
- Appointments are planned within the date advised to the client
- Surveyors have minimal required appointments per week
- Scheduling surveyors’ appointments with clients
- Adding in correct access information for bookings
- Revising appointments as required – dealing with cancellations and rebooking’s
- Update notes on files from surveyors
- Taking payments over the phone
- Other admin ad hoc duties as required by the business including assisting with holiday and sickness cover for other staff
- Building a rapport with clients & surveyors daily to keep them informed
- Deal with minor grievances and complaints
- Representing the business with a positive attitude and always remaining professional
