Dragados UK and Ireland .Job SummaryResponsible for ensuring that all aspects of the office administration run efficiently thereby meeting the requirements of the A-13/ Elephant and Castle Station Capacity Upgrade project teams. To operate the project reception; providing a professional and efficient first impression and continued image.Responsibilities
Meet, greet and welcome visitors to the projectProvide telephone reception and redirect calls as requiredGeneral administration duties as requiredEnsure visitors complete the visitor registration processMaintain established office systems and proceduresSending outgoing post and distribution of incoming post in a timely manner; manage internal post between site and officeStock control, ordering and distribution of office supplies; liaise with suppliers, checking costs, delivery times and proceduresRaise purchase requisitions as necessary with Project ProcurementProvide a meeting room booking serviceAssist in organising the office layout and keep the seating plan updatedEnsure the office condition is maintained and arrange repairs when necessaryLiaise with local facilities management and suppliers for office maintenanceArrange regular testing of electrical equipment and safety devices in project officesUpdate the contact list with new starters and leavers and inform the communications manager for periodic reportsQualifications, Skills and Experience
Previous administrative/reception experience in construction or project-based environmentsExperience with construction project documentation and file managementProficient in Microsoft OfficeAbility to maintain confidentiality and engage with key stakeholdersExperience managing a reception and office suppliesStrong organisational and multitasking skills in fast-paced environmentsExcellent communication and front-desk reception skillsAttention to detail in document handling and data entryExcellent planning and organising skillsDragados Values
