Job Title: Administrator / Infrastructure Support (Defect Management)
Location: Main base in Dartford, Kent (with travel to offices/depots across the M25 network)
Position Type: 6-Month Fixed-Term Contract (Potential to extend or convert to permanent)
Working Hours: 42 hours per week (Mon-Thu: 7:30 AM - 4:00 PM | Fri: 7:30 AM - 3:00 PM)
Pay Rate: -16.00/hr PAYE (-22.18/hr charge rate)
Role Overview
Join the Defect Management Team supporting the maintenance and resilience of the M25 network-one of the UK''s most critical transport infrastructures. Working directly alongside two Defect Managers, you will handle administration, operational coordination, and data management for reactive and planned maintenance tasks.
This is a fast-paced, customer-focused role dedicated to processing information around network issues (e.g., drainage, foliage, road damage) to keep traffic moving safely.
Key Responsibilities
Operational & Administrative Support
Generate work orders, site instructions, and operational documentation for reactive maintenance teams.
Order stock, tools, equipment, and PPE in coordination with supply chain procurement teams.
Provide holiday and sickness coverage to maintain operational continuity across the defect management unit.
Organize agendas, take meeting minutes, and track action points for team and leadership meetings.
Data & Systems Management
Accurately capture, input, and update routine maintenance data for day and night works.
Manage entries across internal maintenance management systems (Confirm, Agile/Inform, and site-assisted software).
Track stock levels and material usage across network maintenance operations.
Maintain training records, track performance metrics, and log compliance details.
Governance, Reporting & Stakeholder Engagement
Compile weekly and monthly data reports tracking operational performance.
Prepare slide packs and presentation materials for Senior Leadership Team (SLT) meetings.
Communicate incident reports, site updates, and lessons learned across internal functions and external partners (including National Highways and framework contractors).
Support internal event coordination and continuous improvement initiatives.
Qualifications & Requirements
Administrative Background: Proven track record in a fast-paced administrative or operational support role (infrastructure/engineering experience is not required-full training on defect systems will be provided).
Technical Skills: Proficient in Microsoft Office (Excel and Outlook are essential; PowerPoint is a strong advantage). Experience with database/stock management systems (e.g., Confirm, Agile/Inform) is a plus.
Mobility: Valid UK Driving Licence (Category B) and willingness to travel periodically to depots and offices across the M25 network.
Clearances: Ability to pass BPSS vetting and a Safety-Critical Medical (arranged and funded prior to start).
Soft Skills: Outgoing, adaptable, and highly organized with strong written and verbal communication skills. You should be comfortable interfacing with diverse operational teams, contractors, and client representatives.
