We''re looking for an Export Coordinator / Administrator to join a busy team, supporting the worldwide export of spares and repairs. You''ll play an important role in ensuring shipments are processed accurately, on time and in line with customer requirements and export regulations.- Based in Yeovil, this is a temporary role and the team currently work hybrid, 3 days in the office and 2 days at home (training will be full time in the office).
What you''ll be doing:
- Coordinating worldwide exports of spares and repairs to customers and suppliers.
- Preparing export documentation to meet HM Revenue & Customs and Department for Business & Trade requirements, as well as customer-specific requirements.
- Producing shipping documents that comply with contractual and country-specific regulations.
- Ensuring documentation meets Letter of Credit requirements where applicable.
- Completing export entries using the GTS system where required.
- Monitoring customer orders to ensure goods are despatched on time and in line with agreed service levels.
- Acting as a point of contact for internal departments, responding to queries efficiently.
- Keeping stakeholders updated on shipment progress and delivery arrangements.
- Ensuring export procedures, including export licences and commodity codes, are followed correctly.
- Liaising with packing contractors to ensure goods are prepared for shipment within agreed timescales.
- Booking air, sea and road freight with freight forwarders and customer-appointed agents.
- Checking freight invoices against agreed rates before processing for payment.
- Maintaining accurate export records and departmental documentation.
- Ensuring shipping documentation is issued and distributed in line with company procedures.
- Identifying opportunities to improve processes and ways of working.
- Supporting colleagues within the Export team and providing cover during periods of absence or increased workload.
- Previous experience in an Export Coordinator, Shipping Administrator, Logistics Administrator or similar administration role.
- Experience within a shipping or distribution environment would be beneficial.
- Strong administration and organisational skills.
- Excellent communication and interpersonal skills.
- Good attention to detail and the ability to manage multiple tasks.
- Confident using Microsoft Word, Excel and SAP (SAP is desirable)
- A proactive approach with a focus on delivering excellent customer service.
