Operations Support Executive
Salary: -30,000 - -33,000

Hours: Monday - Friday, 9am - 5:30pm (37.5 hours per week)

Are you a highly organised and detail-oriented professional with a passion for the motor industry? We are seeking an Operations Support Executive to join our client''s Asset Management team. This role offers the opportunity to work in a fast-paced environment, supporting leasing and finance operations while ensuring compliance and excellent customer service. Reporting to the Operations Manager, you will assist with the day-to-day running of the Asset Management department, providing administrative support and helping to improve operational efficiency. You''ll act as a key liaison between customers, sales teams, and lenders, ensuring smooth coordination and accurate documentation.
Key Responsibilities of the Operations Support Executive:
- Prepare, review, and process lease agreements and related documentation.
- Liaise with lenders and finance companies to coordinate approvals and funding.
- Collect, verify, and file required documents (e.g. invoices, finance applications, insurance, ID).
- Communicate with customers regarding lease application status and documentation needs.
- Track pending deals and support timely funding.
- Prepare reports on leasing activity and outstanding documentation.
- Collaborate with sales, customer service, logistics, and finance teams.
- Respond to internal and external queries professionally and promptly.
- Support end-to-end processing of vehicle sales, finance, and leasing transactions.
- Monitor deal progress and escalate delays or issues.
- Maintain accurate records of operational activities and procedures.
- Assist in scheduling vehicle deliveries and inspections.
- Update vehicle inventory records and stock management systems.
- Prepare customer files and compliance documentation for audits.
- Deliver high levels of customer service through timely communication and follow-up.
Key Requirements of the Operations Support Executive:
- 1-3 years of administrative experience, ideally in automotive, finance, or leasing.
- Strong organisational and time management skills.
- Excellent verbal and written communication.
- Ability to work in a fast-paced environment and meet deadlines.
- High attention to detail and accuracy.
- Analytical mindset with good problem-solving skills.
- Familiarity with lending or credit customer processes is a strong asset.
- Experience in motor trade administration.
- Proficiency in Microsoft Office (Word, Excel, Outlook); CRM and leasing software experience is a plus.
- Familiarity with DVLA systems, V5C registration, and vehicle taxation procedures.
- Knowledge of lending guidelines and leasing compliance.
- Level 2 or Level 3 Business Administration qualification (or similar) desirable.
