Your new role
As Administrative Assistant, you will provide comprehensive administrative support to a senior leadership team and wider department. You will play a key role in ensuring the smooth day-to-day running of the office, managing competing priorities, coordinating activities and maintaining high levels of professionalism and confidentiality.
Key responsibilities will include:
- Providing proactive administrative support and coordinating activities on behalf of senior stakeholders.
- Managing complex diaries, arranging appointments and ensuring schedules are effectively organised.
- Coordinating UK and international travel arrangements, including accommodation, itineraries and associated documentation.
- Processing purchase orders, invoices and expenses through internal systems, ensuring compliance with procedures and approvals.
- Supporting the administration of consultancy engagements, projects and supplier documentation.
- Arranging meetings, visits and events, including venue bookings, hospitality and catering requirements.
- Coordinating taxi bookings and other logistical arrangements.
- Producing accurate correspondence, documentation and briefing materials.
- Working collaboratively with colleagues across the wider business support team to provide cover and support when required.
What you''ll need to succeed
- Previous experience within an administrative, office support or executive support environment.
- Strong diary management and organisational skills.
- Excellent communication skills with the ability to build relationships at all levels.
- Experience coordinating meetings, events and travel arrangements.
- High levels of discretion and professionalism when handling confidential information.
- Strong IT skills, including Microsoft Office applications.
- The ability to manage multiple priorities and meet deadlines in a busy environment.
