Job Purpose
To provide efficient and effective administrative support to the school, ensuring smooth day-to-day operations, excellent communication with parents/carers and staff, and compliance with statutory and school policies.
Key Responsibilities
General Administration

Act as the first point of contact for parents, visitors and staff; deal with enquiries promptly and professionally.

Manage incoming calls, emails and correspondence.

Maintain and update school records, databases and filing systems (including SIMS/Arbor or other MIS).

Prepare letters, reports, newsletters and other communications for parents and staff.
Attendance & Pupil Records
-
Record, monitor and report on pupil attendance and punctuality.
-
Maintain accurate pupil records, including admissions, leavers, and safeguarding information.

Assist with school census returns and statutory data submissions.
Finance & HR (if applicable)

Process purchase orders, invoices, and payments in line with school financial procedures.

Assist with payroll information, staff absence records, and recruitment paperwork.
Events & Logistics
-
Support the organisation of school events, meetings, and trips.

Manage room bookings, hospitality, and resources as required.
Compliance & Safeguarding

Ensure visitor sign-in and safeguarding procedures are followed.

Maintain confidentiality of information at all times.

Support with DBS checks and safer recruitment documentation where required.
Person Specification
Essential:
-
Previous administrative experience (school or similar environment desirable).

Excellent organisational and time management skills.

Strong written and verbal communication skills.
-
Proficiency in Microsoft Office and/or school MIS systems.

Ability to work under pressure, multitask and meet deadlines.

Commitment to safeguarding and confidentiality.
Desirable:

Knowledge of school systems such as SIMS, Arbor or Bromcom.

Experience of working with children and families.
-
First aid training.
