We have an exciting opportunity for a motivated, enthusiastic Admin Team Lead to work within our 0 - 19 Healthy Child Service within North Yorkshire.The post holder will be responsible for supervising the 0-19 Admin Team and will provide administrative support to the Management Team in the 0- 19 Service.About us

Record keeping and ensuring all documentation, both written and electronic, is accurately completed using a variety of software.To be an integral team member for ensuring patients receive high standards of care.Effectively manage diaries on behalf of and in the 0-25 Family Health Service Management Team.Ensure Batch reports are processed within allocated timescales.Process Legal requests for information within Trust Guidelines.Ensure the maintenance of medical equipment and all asset information is accurate and up to date.Distribute incoming correspondence and receive/handle telephone enquiries on behalf of the 0-19(25) Service.Arrange meetings, including booking venues, for internal and external meetings for the 0-19(25) Family Health Management Team; assist with agendas and papers and take and transcribe minutes as required, including follow-up of actions.Process order requisitions and reconcile invoices, maintaining stock control using the authorised on-line ordering system.Manage the petty cash budget for the locality.Provide administrative support for recruitment of staff and for staffing needs across the team.Input complex information, including clinical information, and data into a computer accurately; manage interruptions from calls and supervision responsibilities.Travel countywide to support Admin staff, minute meetings, and distribute resources and assets; provide cover in times of absence for community administration teams as appropriate.Manage complex filing systems for safeguarding information and flagging of records; support the gathering of demographic information for safeguarding procedures (e.g., MARAC, MAPPA).Governance: maintain confidentiality; comply with Health and Safety, COSHH, Infection Control, Fire Procedure, Basic Life Support; comply with Caldicott, Data Protection, Access to Health Records Act and related legislation.Ensure equal access to services by developing and monitoring an interpreter booking service; undertake audits and support departmental development where appropriate.Communication: use SystmOne to maximum benefit; be the first point of contact for a wide range of queries; liaise with Trust staff to ensure high standards of patient care; communicate by face-to-face, email, telephone, or letters.Supervision/Management/Leadership: supervise the Admin Team; participate in appraisals; monitor workload and ensure cover; coordinate temporary cover and holiday planning; provide induction for new staff; manage HR issues and ensure policy adherence; assist with recruitment; support staff in policy changes; lead on implementation of national/local initiatives affecting the 0-25 Family Health Service; monitor department performance and identify improvements.Education and Development: engage in self-development and mandatory training; contribute to training for new staff; participate in ongoing education and departmental projects.Patient/Client/Customer Focus: respond to changes in patient condition; treat patients with empathy and dignity; keep patients informed; assist with reception and care; foster public and patient involvement and feedback; safeguard patient dignity and privacy.Housekeeping: maintain professional appearance and report faulty equipment for repair.Person Specification
